Gear Dios is a product developed, managed, and maintained by Mika Data Solutions ("we", "our", "us"). Gear Dios operates an AI-powered auto repair shop management platform serving independent auto repair shops and their customers across the United States. This Privacy Policy explains how we collect, use, disclose, and protect information when you use any of our three portals: the Admin Portal (admin.geardios.io), the Shop Floor App (floor.geardios.io), and the Customer Portal (customer.geardios.io), as well as this website (geardios.io).


By using any Gear Dios service, you agree to the collection and use of information in accordance with this policy.

Information We Collect

Information You Provide Directly

  • Name, email address, and phone number when registering an account
  • Shop name, address, and business information when registering a shop
  • Vehicle information including year, make, model, and VIN
  • Service history, inspection notes, and repair order details
  • Payment information (processed through Stripe — we do not store card numbers)
  • Messages exchanged between shops and customers via the platform

Information Collected Automatically

  • Device type, browser, and operating system
  • IP address and approximate location
  • Pages visited and features used within the platform
  • Time and date of access
  • Crash reports and error logs

Information from Third Parties

  • Phone number verification via Firebase Authentication (Google)
  • Parts pricing data via PartsTech API
  • Accounting data via QuickBooks Online (when connected)

How We Use Your Information

  • To create and manage your account and shop profile
  • To process repair orders, appointments, and service workflows
  • To send transactional SMS notifications about vehicle service status, repair approvals, appointment confirmations, and pickup alerts
  • To send staff welcome messages containing shop access credentials via SMS and email
  • To verify your identity via one-time passcode (OTP) delivered by Firebase Authentication
  • To power AI-assisted features including diagnostic suggestions, repair summaries, and service recommendations
  • To generate reports and analytics for shop owners
  • To improve the platform through usage analysis
  • To communicate with you about your account, security alerts, and service updates
  • To comply with legal obligations

SMS Communications

Gear Dios sends transactional SMS messages through Twilio (a third-party messaging provider) on behalf of auto repair shops using our platform. We do not use SMS for marketing or promotional purposes.


IMPORTANT — Mobile Number Non-Sharing Statement:

Mobile phone numbers and SMS opt-in consent data collected through Gear Dios will NOT be shared, sold, rented, or distributed to any third parties or affiliates for marketing or promotional purposes. This data is used exclusively to deliver the vehicle service updates and appointment notifications described below.


Who receives SMS messages:

Customers who register at customer.geardios.io or book an appointment via the shop's online booking widget and provide explicit opt-in consent by checking an unchecked checkbox that discloses message types, frequency, and opt-out instructions.

Shop staff who are added by a shop owner receive a one-time welcome SMS with their shop access credentials as part of the employment onboarding process.


How opt-in is collected:

— Website registration form at customer.geardios.io/register (unchecked checkbox, optional)

— Online appointment booking widget hosted on the shop's website (unchecked checkbox, optional)

Opt-in confirmation SMS is sent immediately upon consent: "[Shop Name]: You're subscribed to appointment reminders & service updates. Msg frequency varies. Msg & data rates may apply. Reply STOP to unsubscribe, HELP for support."


Types of messages sent:

Repair approval requests, repair status updates, appointment confirmations, and vehicle pickup alerts sent on behalf of the auto repair shop servicing your vehicle.

One-time staff welcome messages containing shop code and floor app access instructions.


Message Frequency: Message frequency varies based on service activity. Typical: 1–3 messages per active repair order, 0–2 per month for appointment reminders only.


Message and data rates may apply based on your mobile carrier plan.


Opt-Out: Reply STOP to any Gear Dios message to unsubscribe immediately. You will receive one confirmation and no further messages will be sent.


Re-subscribe: Reply START or UNSTOP at any time to re-subscribe to notifications.

Login OTPs: One-time passcodes for account login are delivered by Firebase Authentication (Google) — not through Twilio — and are not subject to SMS opt-out.

How We Share Your Information

We do not sell your personal information to third parties. We do not share or rent mobile phone numbers with third parties for marketing or promotional purposes. We share information only as follows:

  • With your auto repair shop: Customer vehicle and service data is shared with the shop managing your vehicle
  • Service providers: Firebase (Google) for authentication and database, Twilio for SMS, SendGrid for email, Stripe for payments, PartsTech for parts data — all bound by data processing agreements
  • Legal compliance: When required by law, court order, or to protect the rights and safety of users
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users

Data Retention

We retain your personal data for as long as your account is active or as needed to provide services. Repair order history and vehicle records are retained for a minimum of 7 years to support warranty claims and regulatory compliance. You may request deletion of your account by contacting support@geardios.io. We will delete personal data within 30 days of a verified request, except where retention is required by law.

Security

We implement industry-standard security measures including encrypted data transmission (TLS/HTTPS), Firebase Authentication with phone number verification, role-based access controls limiting data access by shop, and regular security reviews. No method of transmission over the Internet is 100% secure. We cannot guarantee absolute security but are committed to protecting your information using commercially reasonable methods.

Your Rights

  • Access: Request a copy of personal data we hold about you
  • Correction: Request correction of inaccurate personal data
  • Deletion: Request deletion of your account and associated personal data
  • Portability: Request your data in a portable format
  • Opt-out of SMS: Reply STOP to any SMS or contact support@geardios.io
  • California residents (CCPA): Have additional rights including the right to know, delete, and opt-out of sale (we do not sell data)

Children's Privacy

Gear Dios services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided personal information, we will delete it promptly. Contact support@geardios.io if you believe we have inadvertently collected information from a minor.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated effective date, and by sending an email to the address associated with your account. Continued use of Gear Dios services after changes take effect constitutes acceptance of the updated policy.
